Introduction

In December 2009 over 33,000 people participated in the United Nations Climate Change Conference in Copenhagen COP15 (Conference of the Parties 15). For over two years the hosts and venue invested exceptional amounts of time, energy and money into organising an event of the highest possible level of sustainability. It was not the most environmentally friendly conference ever organised, but it demonstrated how a large, complex event can be organised in a more sustainable and strategic way to create benefit for the organisers, participants and the environment.

In order to capture and share the experiences gained in preparing Copenhagen for COP15, a coalition of seven innovative organisations came together to create the protocol detailed in this document. The CSMP builds not only on the COP15 experiences, but also on Denmark’s strong traditions and leadership in creating sustainable solutions and communities.

The project partners share a common vision for a more sustainable, responsible and ethical global marketplace. Their mission is to accelerate the transformation and sustainable development of large international meetings. 


     

The coalition represents a wide ranging team of key stakeholders within the meetings industry:

• The Royal Danish Ministry of Foreign Affairs (the logistical organiser of COP15).
• Bella Center A/S (the venue of COP15).
• VisitDenmark (national tourism marketing organisation).
• Wonderful Copenhagen Convention & Visitors Bureau.
• The City of Copenhagen (municipality).
• MCI Copenhagen (professional congress organiser).
• Novo Nordisk A/S (corporate event organiser).

How to use the Copenhagen Sustainable Meetings protocol
 
The protocol offers a flexible, umbrella framework that can be used to organise large, complex meetings in amore sustainable way. It is not an introduction to sustainability, nor a beginner’s guide to sustainable meetings, nor does it provide detailed checklists. Instead the protocol showcases best practice and leadership thinking so that experienced event professionals can see how a systematic strategic approach to sustainable event management, using internationally recognised standards, can deliver long-term business results.

This is an advanced level guide designed to complement the many existing guides present in the market. The CSMP will not only help corporate, government or association event organisers, but also consultants and managers of venues and large hotels.

The protocol is designed to be used in combination with its sister document, the COP15 United Nations Climate Conference, Copenhagen, Event Sustainability Report. The COP15 Sustainable Event Report document provides in depth details of the COP15 sustainability approach, initiatives and performance. It was created following Global Reporting Initiative (GRI) reporting guidelines.

The protocol, through the information it contains, is intended to inspire planners to strive for excellence sustainability in the management of their meetings. It will be presented to the United Nations to provide knowledge and ideas on increasing the sustainability of future COP events. It will also be also shared with various universities, sector specific media, meetings industry associations and at sector events. Please contact any members

Sustainable Event Management
COP15 as a Case Study

For two weeks between the 7-19 December 2009, 33,526 people from NGOs, media, business and government gathered in Copenhagen to discuss climate change. This historic meeting included government participation from 192 countries, including 126 heads of state, making it the largest political meeting ever celebrated outside of New York and the largest concentration of government leaders at any one time. In addition 6,000 journalists covered the conference, making it the largest media event ever held in Denmark.

The 15th Conference of the Parties (COP15) was an historic affair not only for its significance, but also for the complexity of organising a twenty-four-seven event for twelve days. This involved:

• 76,673m2 of conference space.
• Between 11,000-15,000 guests passing through 23 scanners daily.
• Security provided by over 2,000 police officers, UN officers and security staff.
• Over 2,500 official meetings.
• 300 tons of food used to prepare 200,000 meals that were served by
100 chefs and 450 catering staff.
• 350,000 glasses of tap water and 250,000 cups of FairtradeTM coffee.
• 5,500 computer workstations and internet connection for up to 8,000 laptops.
• Seven football pitches of carpet.
COP15 provides a bold and inspiring example of the potential for sustainability by demonstrating how large events can facilitate sustainable destination transformation. Through active, positive stakeholder engagement initiatives and effective, ongoing improvement of the event management system, the Danish
Foreign Ministry charted a course for success that can now serve as model for cities and event owners around the world.



The Danish Ministry of Foreign Affairs took a strategic approach to sustainability underscored by the use of the BS8901 sustainability management system for events and reporting triple bottom line results using the GRI reporting guidelines.

Key successes of the conference include:
• 100% of 72,374 tons of the events carbon emissions were offset.
• 93% of the participants used public transport to and from the venue.
• 75% of the food and beverage was certified organic.
• €532,000 saved by not giving gifts and invested in the education of
11 international students.
• 53% of hotels in the Copenhagen area and the Bella Center congress
venue were eco-certified.
• 40% of food was sourced within a 100 mile (160km) radius.
• 20% reduction in CO2 emissions at the Bella Center (compared to 2007).
• More than 250 hours of TelePresence meetings held over 149 sessions.
• 4%of equivalent venue energy consumption generated by onsite wind turbine.
• 1st UN event to achieve BS8901 certification of its management system.
